Black & white vs. color

Printing in color

By default, all printers will print in grayscale. Before printing in color, please think about whether you really need to print in color; color printing is much more expensive than black and white.

  • To submit a color print job, go to Print and select Printer Properties (this might also be called “Printer Preferences”).
    1. Go to the Quality tab and change Grayscale to Auto Color:

  1. Click Ok, then click Print.
  • Notes:
    1. When printing from Word, Excel, or Powerpoint, the program tends to remember your last selection. After you print in color, be sure to double-check any subsequent prints to make sure they are in grayscale.
    2. If you want to print in color from Google Chrome, scroll down and select “Print Using System Dialog”.

 

Double-sided printing

  • When printing from Word, Excel, Powerpoint, or Outlook, select “Print on Both Sides” from the Print menu:

 

  • If you do not see an option for “Print on Both Sides” or “Print double-sided”, select Printer Properties (or Printer Preferences) and select Print Type: 2-sided:

 

Staples and 3-hole punch

  • When printing, select Printer Properties (or Printer Preferences)
  • Go to the Finish tab
  • Check Staple for staple finish
  • Check Punch for 2/3-hole punch finish
  • Adjust the position of the staple or punch using the drop-down menu.

 

 

Secure printing

You can print a secure print job that is held until you release it. You can release it at any of the new printers.

  • To submit a secure print job, select “find-me-print” as your printer.
  • Submit the print job.
  • Go to any of the new Bizhub printers and enter your User ID (your employee ID number) or swipe your badge.
    1. Select Secure Print
    2. Select the job(s) you would like to print.
    3. You can also select jobs that you want to delete. If you don’t release secure print jobs within 36 hours, they will be automatically deleted.

 

 

Copying

  • Enter your User ID (your employee ID number) or swipe your badge, then select Device Functions.
    1. Choose the account (cost center) that the copies should be billed to.
    2. Choose Access Device.
    3. Selection copy options such as # of pages, single-sided vs. double-sided, etc.
      • Change the color to “Auto Color” to make a color copy on a C659 printer.
    4. Hit Start to begin copying.
    5. When you are finished, hit the Access button twice.

 

 

Scanning to email

Note: currently, you can only scan to your own email address.

  • Enter your User ID (your employee ID number) or swipe your badge, then select Scan.
    1. Select account.
    2. Select Scan to My Email.
    3. Load paper in the feeder or lay it on the glass.
    4. Click Start.
    5. When finished, scan more documents or follow the instructions to finish sending.
    6. After sending, log out by tapping in the upper right corner.


Scanning to OneDrive

  1. Enter your User ID (your employee ID number) or swipe your badge, then select Scan.
    1. Select account.
    2. Select Scan to OneDrive
    3. Load paper in the feeder or lay it on the glass.
    4. Click Start.
    5. When finished, scan more documents or follow the instructions to finish sending.
    6. After sending, log out by tapping in the upper right corner.
    7. You will receive a one-time email from PaperCut to authorize scan to OneDrive.
    8. Monitor your email for another email confirming that the scan has been delivered to OneDrive.
    9. On your computer, go to the folder OneDrive - Homes for Good\Apps\Scans for PaperCut MF to locate the scans.

 

 

 

Faxing

As of 4/4/2022, all existing fax numbers have been converted to electronic fax. 

 

 

Printer jams, errors, deleting jobs

  • If you need to delete a print job that is in-progress, delete a print job that has caused a jam, or view a printer error message (orange button is flashing), perform these steps:
    1. Tap the Access button
    2. Select Public user
    3. View the error message, if any
    4. To delete a print job:
      • Select Job List
      • Select a print job, then tap Delete
